Describe the actual demand
For each active matter, identify the next meaningful action, relevant dates, expected preparation, and unresolved dependencies. Include review and communication time, not just drafting. Distinguish confirmed deadlines from internal targets. A compact, current view is more useful than a detailed spreadsheet that nobody maintains. The aim is to see where several commitments compete for the same person or period.
Connect capacity to professional responsibility
Comment 2 to ABA Model Rule 1.3 says workload must be controlled so matters can be handled competently. The local adopted rules govern, but the underlying planning question is concrete: who has the time and ability to do the required work? A mindfulness routine cannot answer a staffing gap. Bring capacity concerns into supervision or management discussions while options still exist.

Raise a specific problem with possible choices
Instead of reporting only that you are overwhelmed, identify the conflicting tasks and the consequence of leaving the conflict unresolved. Ask for a decision about priorities, additional help, or another appropriate adjustment. Do not assume that one deadline can be moved because another is inconvenient. Any change affecting a client, court, or agreed obligation needs the proper authority and communication.
Make delegation a complete handoff
Clarify the task, scope, required background, date, and review arrangements. Confirm that the receiving person has capacity and understands what will happen next. Keep the assignment in the shared work system so it is visible to those responsible. Passing a document across does not by itself transfer every responsibility; supervision and professional obligations still need to be addressed through the applicable arrangements.
Review the pattern as well as the week
After immediate conflicts are managed, ask what repeatedly creates them: unclear intake decisions, late instructions, insufficient review time, or a concentration of specialist work. Choose a practical change and check whether it helps. Sustainable planning includes ordinary cover for leave and absence. It should not depend on the same colleague continually absorbing work that the system never properly allocated.
