Write the purpose in one sentence
Ask what the recipient needs to know or do after reading. If the answer includes several unrelated requests, consider separating them or using a clear numbered structure. Identify the real deadline and any need for immediate action. A pause should support sound judgment, not become a reason to postpone something that requires prompt attention under the circumstances.
Check facts against the record
Verify dates, quotations, attachments, and the description of previous discussions. Distinguish an established fact from an inference or a point still under review. ABA Model Rule 4.1 addresses knowing false statements of material fact or law to third persons during representation. The applicable professional rules govern, while routine factual checking helps keep an ordinary email from overstating what the record actually supports.

Remove language that has no useful job
Look for speculation about motives, personal commentary, and repeated accusations that do not advance the request. Replace a vague complaint with the specific issue and its practical consequence. Firm language can remain direct. The question is whether a phrase helps communicate the position or merely carries the emotion of the moment into a permanent written record that others may later read.
Review the audience and the material
Check the recipients, copied addresses, subject line, attachment version, and any quoted chain. Consider whether each person needs the information included. Do not assume that a familiar autocomplete suggestion identifies the correct recipient. If the message needs an internal review, use the approved process and allow time for it. A well-edited paragraph does not compensate for sending sensitive material to the wrong audience.
Make the response path clear
End with the action requested, the date if one is appropriate, and the point of contact. If the exchange is becoming unproductive, consider whether a properly prepared call or another agreed route would help. Preserve an accurate record of any resulting decisions. Choose the communication method around the task and professional responsibilities, rather than simply trying to produce the last message in the thread.
